Privacy statement for on-line traineeship applications

The personal information Cedefop requests from you will be processed in line with Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data.

The data are collected and processed in view of a possible traineeship at CEDEFOP.

 

Who has access to your information and to whom is it disclosed?

The members of the Human Resources Service in charge of traineeships and the staff of the organisational units of Cedefop involved in trainee selection. Only strictly necessary disability-related data will be requested. People in charge of handling such data are aware that they are processing sensitive information and they respect the confidentiality requirements.

Data are requested on a voluntary basis. Failure to reply automatically excludes the subject from the selection process for trainees.

 

Correction and updating of data

For practical reasons, once you have submitted your on-line application, there is no possibility for you to directly update and correct data. You are therefore requested to double check carefully all data prior to confirming submission.

Should you nevertheless need to correct or update any data after the submission of your on-line application, you may do so by sending an e-mail

You have the right to correct or update your identification data at any time. Data demonstrating compliance with admissibility criteria may not be updated or corrected after the closing data for the respective traineeship period.

Queries and concerns may also be addressed to Cedefop’s Data Protection Officer by e-mail.

You have also the right to have recourse at any time to the European Data Protection Supervisor.

 

Right of Access

If you have completed the minimum required period, you will receive at the end of the traineeship a certificate specifying the dates of your training period and the department in which you were employed. You may acquire a copy of the traineeship certificate from CEDEFOP for up to 10 years.

 

Legal basis for collecting data

The legal basis of the processing operation for which the data is intended is that the processing is necessary for the steps of the traineeship selection pursuant to Traineeship rules.

 

How long do we keep your data?

CEDEFOP will keep applicants’ files (whether successful, unsuccessful or withdrawn) for no longer than 2 years. The retention period starts the moment the traineeship starts. Beyond this period, aggregate and anonymised data on traineeship applications will be kept only for statistical purposes.
